A business move needs proper preparation, good communication and a serious budget. The difference between an office move and a house move is that doing a house move is a personal matter. It involves you and your family, but it stays within the family. If you decide to save some money by not hiring movers and packing on your own, then you can. If you want to hire a truck and drive it yourself, because the new house is close by, that is manageable too. But when it comes to a commercial relocation, everything that happens affects everyone. A checklist is a must and it should be discussed with the employees so that everybody knows what to do and when to do it. Here is an example of a checklist for your office relocation:
• Choose an approximate time for the move and determine the moving schedule.
• Prepare a communication plan, which involves the following activities: informing the entire staff you work with, informing your clients, business partners, suppliers and other parties.
• Prepare a list of tasks and assign them.
• Choose the moving company and choose well. You need a reputable company with years of experience in order to have a successful move within a timely manner.
• Determine the look of the new office. Have a layout of the new premises and discuss the changes with your employees.
• Contact your utility and service providers and set up dates for installations.
• Let the employees know when they should pack their desks or cubicles and provide them with packing instructions and material.
An office move is all about remaining calm and focused and keeping the working process going throughout the relocation. It is hard, but it can be done. If you are relocating because you have chosen a better location, this can bring great opportunities for your business. Make sure you label the equipment and give a map to the movers – some items might have to be moved first. If you have chosen the weekend for moving, it will be easier to start working on Monday like usual. However, keep in mind that it may take time for your staff to adapt to the changes the new location has brought. As long as you communicate successfully with everyone the move will go smoothly and the transition won’t affect your business negatively.
